How to delete your data

You can ask Zerc to delete the personal data we hold about you at any time. This page explains who to contact, what to include and what happens next. It applies to the zerc.ai website, to Polaris and Workbench, and to any data we receive through Meta platforms (WhatsApp, Facebook, Instagram) or Twilio.

1. If you talked to a business through Polaris

This covers conversations over WhatsApp, SMS, voice, web chat or email with a business that uses Polaris. That business is the controller of your data and Zerc processes it on its behalf. You have two options:

  • Ask the business directly. It can request deletion from us and we execute it.
  • Write to privacy@zerc.ai with the subject "Data deletion request". Include the phone number, handle or email address you used and the name of the business you spoke with.

What happens next:

  • We confirm receipt within 2 business days and give you a reference number.
  • We verify that the request comes from you, usually by asking you to reply from the same number or email address.
  • We delete your messages, attachments, transcripts, recordings and profile data within 30 days, notify the business, and confirm to you by email or message.

2. If you are a business user of Polaris or Workbench

Ask your workspace administrator to remove your account, or write to privacy@zerc.ai from your work email. We delete your account data within 30 days. Content that belongs to the workspace stays with the business customer until its contract ends, then follows the retention rules in the Privacy Policy.

3. Data received from Meta

If you connected a WhatsApp Business Account, a Facebook Page or an Instagram account to Zerc, or used Facebook to sign in, we hold the identifiers and business information Meta shared with us. To delete them:

  • Disconnect Zerc on Meta's side: open Facebook Settings, go to Apps and Websites, find Zerc and choose Remove. In WhatsApp Manager, you can also remove Zerc as a partner of your business account.
  • Write to privacy@zerc.ai with the subject "Data deletion request" and the account you connected. This step is optional: removing the app is enough, and Meta sends us a deletion notice.

In both cases we delete the associated data within 30 days and confirm by email.

4. What we delete and what we keep

We delete personal data, conversation content, transcripts, recordings and account data linked to you. We may keep:

  • Billing and tax records the law requires us to keep, typically for 5 years.
  • A record of your deletion request, so we can show it was fulfilled.
  • Aggregated or anonymized data that can no longer identify you.

Copies in encrypted backups expire within 90 days of the deletion.

5. Confirmation

When the deletion is complete we send you a confirmation with the reference number. If you do not hear from us within 30 days, write to us again quoting the reference number.
